The Role 

We’re looking for a highly organised, proactive Studio & Operations Coordinator to help keep our creative agency running smoothly. You’ll be at the heart of the business, supporting the team with day-to-day operations, project administration, finance tasks, and office management, while helping to create a positive and efficient working environment

This is a varied role that would suit someone who enjoys juggling multiple priorities, thrives in a fast-paced creative environment, and takes pride in making things happen behind the scenes

Key Responsibilities

Studio & Office Management

  • Oversee the smooth day-to-day running of the studio and office
  • Order and manage office equipment and supplies
  • Coordinate office maintenance and liaise with building management where required
  • Organise team events, including away days, celebrations, and the annual Christmas party
  • Help foster a welcoming, organised and collaborative studio environment

Travel & Administration

  • Book domestic and international travel, accommodation and itineraries for the team
  • Manage company expenses and support expense reconciliation
  • Respond to general enquiries, including job applications and other external communications
  • Maintain organised records, documents and administrative systems
  • Calendar management for Directors

Project & Client Support

  • Provide administrative support across client projects
  • Assist with preparing client quotes, proposals and project documentation
  • Support the team with bid writing and tender submissions
  • Coordinate with printers, suppliers and other external production partners to ensure projects are delivered on time and to a high standard
  • Help ensure project administration is accurate and up to date
  • Plan and book client hospitality and events

Finance Support

  • Support the wider team with basic financial administration.

About You

You’ll be someone who:

  • Has excellent organisational and time management skills.
  • Is proactive, resourceful and able to work independently.
  • Communicates confidently with colleagues, clients and external partners.
  • Has exceptional attention to detail.
  • Can manage multiple priorities while remaining calm under pressure.
  • Is confident using Microsoft Office and Google Workspace (experience with project management or finance software is an advantage).
  • Enjoys working as part of a collaborative, creative team.

Desirable Experience

  • Previous experience in an administrative, studio management, operations or office management role.
  • Experience working within a creative agency, design studio or similar fast-paced environment is preferable but not essential.
  • Experience supporting proposals, bids or client-facing documentation.
